Webinar, Booking and Cancellation Terms

Webinar terms

ESC Learning (Environment Study Centre) collects personal information when you register for a digital event or sponsored content. We use this information to deliver the product or service for which you are registering.

ESC Learning is the controller of your data for the purposes of the Data Protection Act 2018. We collect certain personal information from you so that the content can be delivered to you. We will contact you only about the subject of the content and similar content, and will not pass your personal information to a third party.

You can opt out at any time by contacting info@esclearning.com.

Requests and acknowledgements

All rescheduling or cancellation requests must be sent by email. Clients are responsible for ensuring that ESC Learning has confirmed receipt. A written acknowledgement will be sent within 2 working days.

Cancellations and refunds

  • Cancellations must be made in writing and received at least 14 days before the event start date.
  • Registration and Quality Assurance Fees cannot be refunded.
  • No refunds will be made for cancellations received after the 14-day window.
  • Fees already paid to a third party are non-refundable.
  • Some courses or events may have different cancellation timeframes. Please refer to the specific course or event details.

Attendance, Rescheduling and Transfers

Rescheduling policy

  • Each booking may be rescheduled twice, provided the course is available. Availability is not guaranteed.
  • Requests must be made by email at least 14 days before the event.
  • An administration fee of £120 plus VAT, or the cost of the Registration and Quality Assurance Fee, whichever is higher, will apply.
  • Requests made after the deadline will not be actioned. If the participant does not attend, the full cost will be forfeited.
  • Rescheduled bookings must be taken up within 6 months and confirmed at least 14 days before the new course date, or the full cost will be forfeited.

Sickness and family emergencies

If a participant is unable to attend due to illness, a reschedule request may be made with supporting evidence, such as a medical certificate or equivalent. Where possible, requests should be submitted before the course date, although late requests will be considered case by case.

If a participant cannot attend due to a genuine family emergency, a reschedule request may be submitted with brief supporting context. The 14-day notice period is preferred, but late requests will be considered case by case. The administration fee may be waived at the organiser's discretion in genuine cases.

Registration and Quality Assurance Fees cannot be refunded. Rescheduled bookings due to sickness or family emergency must be taken up within 12 months and confirmed at least 14 days before the new course date.

No-shows, transfers and restrictions

Failure to attend without prior notice will result in forfeiture of the full course fee. No reschedule or refund will be offered for no-shows.

Bookings may be transferred to another individual for an administration fee of £30 plus VAT, provided notice is given at least 7 days before the course date. The new participant must meet any course prerequisites and confirm attendance in writing.

Trainers or course designers from other training organisations are not permitted to attend. Bookings linked to other training providers will be cancelled. Registration and Quality Assurance Fees cannot be refunded, and registrations are monitored continuously.

There is no cooling-off period for digital products and services. If a booking is made as part of a group, these terms apply to all affected individual places. Business-to-business sales are not covered by Consumer Protection Law; these terms do not affect your statutory rights.

Conferences, In-House Training and Seminar Terms

General event terms

ESC Learning reserves the right to replace trainers, speakers or presenters with suitable substitutes.

We will do our best to avoid cancelling or aborting a course on the day or shortly before it is due to take place. If this becomes necessary, we will refund the fees or the appropriate portion of them. We cannot accept liability for any other costs, expenses, losses or wasted time incurred by attendees.

The views expressed during events are personal to each trainer, speaker or presenter and are not attributable to ESC Learning. We accept no responsibility for advice or opinions expressed verbally or within documentation provided.

In-house courses

ESC Learning can provide most events to organisations for delivery on their own premises, or at premises arranged and paid for by the client, to an internal audience.

Fees are available on request and will include trainer, speaker or presenter costs and expenses, plus electronic notes and hard copy notes for each attendee. Clients must receive and store couriered notes, make them available on the day, and provide a suitable room, projector and refreshments. Where lunch is provided for attendees, it must also be provided for the trainer, speaker or presenter.

Fees quoted will be held firm for 12 months from acceptance of the proposal by the client. Thereafter, fees will be subject to negotiation. Any changes to agreed course content may incur additional costs.

Event timing will be agreed in advance, but courses typically start at 9.00 or 9.30 and finish by 17.00 or 17.30, with breaks for coffee, tea and lunch.

Subject to credit approval, in-house events can be booked with an official order, letter or email. Invoices will be submitted in pounds sterling no later than 14 days before course delivery, and payment must be received by the date of the event.
